Job Description :
Job Summary

Works closely with and reports directly to a staff operations director/manager. Collaborates with staff operations lead, staff and other division team members to coordinate projects and initiatives. Participates in departmental activities and special projects. Coordinates various project activities for multiple teams and groups within the division. Role is key in creating internal/external communication, visualizing complex topics and drafting/developing briefing materials for senior executives.
  • Coordinates operational tasks to ensure timely progress of multiple projects across the group.
  • Prepares materials and coordinates scheduling of staff meetings and events including weekly staff meetings, quarterly strategy sessions, and team/organizational meetings.
  • Drafts and edits professional communications (email, letter, phone) to coordinate activities between project teams, partners, staff, teams, and various other divisions.
  • Collates documents and data sets to support executive and senior staff; manage data/project repository and data storage systems
  • Conducts literature reviews, best practice research and fact finding/checking to support business initiatives
  • Conducts and coordinates online research into various topics and documentation of results and formulates recommendations.
  • Designs, drafts and edits strategic plans, recurring reports, information brochures or presentations, business cases and other essential supporting documentation
  • Develops figures, graphics and other visual aids
  • Assists and participates in designated projects especially to enhance communication, collaboration and documentation
  • Maintains personal knowledge of and a close working relationship with cross organization staff handling internal and external affairs to establish communication channels

Basic Qualifications
  • Bachelor's degree and two years related work experience or six years related work experience post high school
  • Two years project management and project implementation experience
  • Two years experience interacting with high level executives in a corporate environment


Preferred Qualifications
  • Two years experience in staff operations or executive support roles
  • Experience in supporting cross functional operations teams
  • Experience with Marketing, Sales, Finance, Sales, Operations, HR or Logistics
